Envirocon Social Media and AI Use Policy

Guidelines for safe, respectful social media use and responsible AI practices at Envirocon. Promotes our brands while protecting confidentiality, accuracy, and values

Part 1: Social Media Policy

Purpose & Scope

This policy ensures that employee use of social media aligns with Envirocon’s values and protects the confidentiality of our business. Social media is a valuable tool for building awareness of Envirocon, Interbloc, Stonebloc, Envirobuild, and Envirocalc, and we encourage staff to engage responsibly. Employees are welcome to post about these brands on platforms including LinkedIn, Instagram, Facebook, TikTok, X (Twitter), and any other relevant channels, provided content is consistent with our values and does not disclose confidential information.

Expectations for Employee Conduct

As a representative of Envirocon, Interbloc, Stonebloc, Envirobuild, and Envirocalc you are expected to:

  • Be respectful to all users on social media and use professional language.
  •  Hateful, inappropriate, discriminatory, or offensive content must never be posted.
  • Negative commentary about competitors, partners, or industry professionals must never be posted.
  • Balance authenticity with alignment to Envirocon’s brand voice.

Acceptable Content

Employees may share posts that:

  • Celebrate Envirocon achievements, projects, and milestones.
  • Show appropriate and safe workplace activities (e.g., correct PPE, safe installation).
  • Promote company values and culture.
  • Support Envirocon’s brand awareness and community presence.

Prohibited Content

Employees must not post:

  • Confidential information, including:
    • Salary or employment conditions
    • Product manufacturing methods or engineering details
    • Unreleased products, updates, or testing processes
    • Internal operational information
  • Controversial or inflammatory content, including:
    •  Politics, race, gender, or sexuality debates
    • Inappropriate jokes, discriminatory remarks, or offensive language
  • Photos or content that could damage Envirocon’s reputation (e.g., unsafe work practices, defective products).
  • Content using logos or materials without proper permission — whether Envirocon’s, or those of our partners and customers.

Customer Engagement

  • Employees may respond to inquiries received on personal posts in a friendly and professional manner.
  •  Any sales, technical, or detailed customer queries should be referred to the appropriate team (e.g., Sales, Dispatch, Accounts).
  • Employees should not promise pricing, product specifications, or order commitments on social media.

Confidentiality

Some information will always remain confidential and must never be shared publicly:

  •  Employee personal information
  • Commercially sensitive details (pricing, contracts, internal strategies)
  • Research, prototypes, or unreleased innovations

 

Part 2: Use of Artificial Intelligence (AI) Tools

Purpose

AI can boost quality and speed, but it also raises privacy, confidentiality, and accuracy risks. These rules keep us aligned with our values and protect confidential information about Envirocon, Envirobuild, Envirocalc, Interbloc, Stonebloc, our partners, customers, and people.

What You May Use AI For

  • Drafting non-confidential content (e.g., public posts already made public by Envirocon), grammar/spell checks, idea generation, summarising public material.

  • Creating variations of already-approved external copy.

  • Creating images or videos only where you have rights to all source material and people featured have consent. If significantly AI-generated (especially synthetic images/video), label it clearly.

What You Must Not Do

  • Never paste or upload confidential designs, project files, non-public pricing, contracts, HR/payroll data, personal information, credentials, or API keys.

  • Do not use AI to make or automate decisions about people (hiring, performance, discipline) or customers without approved human review.

  • Do not claim AI output is fact without checking; AI can be inaccurate or misleading.

Tool & Account Rules

  • Only company-approved business accounts may be used.

  • Use of free or personal AI accounts (e.g., ChatGPT Free/Plus, Google Gemini free) is prohibited.

  • Approved platforms:

    • OpenAI (ChatGPT Team/Enterprise): Inputs and outputs are not used for training.

    • Microsoft 365 Copilot: Customer data is not used to train foundation models.

    • Google Workspace Gemini Business: Prompts and outputs are not used to train models outside your domain.

Privacy, Confidentiality & Accuracy

  • Share the least information needed for the task. Prefer redacted/anonymised examples.

  • For new or changed AI use touching personal/confidential data, complete a Privacy Impact Assessment (PIA) and get approval.

  • All externally-facing AI-assisted content must be human-reviewed for accuracy, bias, copyright/IP, and tone.

Vendor & Data Handling Requirements

  • Use only vendors with proper privacy/security commitments and agreements (e.g., OpenAI business plans, Microsoft, Google).

  • Keep sensitive files inside approved systems; do not upload them to external AI tools.

  • Treat AI prompts/outputs that include company material as company records—store them in approved locations.

Transparency

  • If AI significantly assisted the creation of public content, disclose it where appropriate.

  • Clearly label synthetic media as AI-generated.

Training & Accountability

  • Complete Envirocon’s AI basics & privacy refresher before using AI for work.

If sensitive information is shared with AI by mistake, report immediately to your manager and the Privacy Officer.

When in Doubt : If you are unsure whether your AI usage aligns with this policy, discuss it with your manager or the relevant person before posting or uploading.

Policy Review : This policy will be reviewed annually. Updates will be communicated to all employees, and the latest version will always be accessible.
